Terms of service
Last updated 25 September 2026
In short. You pay a fixed setup fee and a monthly fee (founding clinics have their own terms, in section 3), and you can cancel month to month. Everything is built in your accounts, so you keep it all. Your team stays responsible for medical advice, and the system passes anything clinical to them.
1. Who these terms are between
These terms apply between Pipeworks Automation, a business run by Anthony in Jounieh, Lebanon ("Pipeworks", "we"), and the clinic or business using our services ("you"). If we also sign a written proposal or agreement with you, that document takes priority where the two differ.
2. What we provide
We design, set up and maintain automated systems that reply to patient inquiries, qualify them, follow up, send appointment reminders and record activity in your CRM. The exact scope for your clinic is described in your plan (founding pilot, Core or Growth) and confirmed in writing before we start.
3. The founding clinic pilot
- The founding pilot is offered to the first six clinics we accept, by application, and no more than two at a time. Once six places are filled, the programme closes.
- The pilot lasts 30 days from launch. There is no setup fee and no monthly fee during the pilot.
- You pay the direct costs of running the system during the pilot, such as WhatsApp messaging fees, which are billed to your own accounts.
- The pilot is for clinics that already receive a steady flow of inquiries. Before launch we measure a baseline together and agree a written target. On day 30 we review the results together.
- The founding agreement is signed before launch. It takes effect only if the pilot reaches the agreed target at the day-30 review. If it does not, the pilot ends there and nothing is owed.
- Founding terms. When the agreement takes effect, you continue on Core at the founding rate of $300 per month, and the Core setup fee ($1,200) is waived. Monthly fees start from the day after the review.
- Founding terms require a minimum of six months on the paid plan. If you cancel earlier, the setup discount you received becomes due in proportion to the months remaining. For example, leaving after two months means paying four sixths of $1,200, which is $800.
- In return for the pilot, you agree that we may publish a short summary of your results. We will show it to you first and remove your clinic's name if you prefer.
4. Fees and payment
- Core: $1,200 one-time setup, then $350 per month.
- Growth: $2,000 one-time setup, then $600 per month.
- Prices are in US dollars. Setup is invoiced before work begins, either in full or in two equal parts: half before work begins and half when your system goes live. Monthly fees are invoiced in advance and start when your system goes live.
- Third-party costs, such as WhatsApp messaging fees or paid software plans you choose, are billed by those providers directly to your accounts and are not included in our fees.
- We will give at least 60 days' written notice of any change to monthly fees.
5. Cancelling
After setup, plans are month to month. Tell us in writing (email or WhatsApp) before your next billing date and your plan ends at the close of the current month. Setup fees are not refundable once work has started, because they cover time already spent building for your clinic. Full details are in our refund policy.
6. Response times and automated replies
- Response times we describe, such as replies within 60 seconds, are what your system is designed and tested to do. They are not a guarantee, because they depend on services outside our control, such as WhatsApp and your calendar provider.
- Replies may be generated automatically, including by AI language models, using the information and wording you approve. We set the system up to hand medical, sensitive or unusual questions to your team.
- Reminders and follow-ups started by your clinic require patients to have agreed to receive WhatsApp messages from you, under WhatsApp's rules. We build the opt-in into your system; you make sure it is used.
7. Ownership
- All accounts (WhatsApp Business, CRM, calendar, automation tools) are created in your name or transferred to you. You own your data and your patient records.
- The workflows, messages and configuration we build for your clinic are yours to keep and use, including after you cancel.
- We keep the right to reuse our general methods, know-how and templates for other clients, without any of your data or confidential information.
8. Your responsibilities
- Give us accurate information about your treatments, prices, doctors and schedule, and tell us when it changes.
- Make sure you have a lawful basis to message your patients, and follow WhatsApp's business and messaging policies.
- Keep a member of your team available to handle conversations the system passes on.
- Medical advice, diagnosis and treatment decisions remain your clinic's responsibility. The system is designed not to give medical advice and to pass clinical questions to your staff.
9. Our responsibilities
- Build and test your system carefully before any patient sees it.
- Monitor it, fix problems within a reasonable time, and tell you promptly about anything that affects your patients.
- Keep your information confidential and handle patient data as described in our privacy policy.
10. Third-party services
Your system depends on services we don't control, such as WhatsApp, HubSpot and your calendar provider. If one of them changes its rules, pricing or availability, we will work with you to adapt, but we are not responsible for their outages or decisions.
11. Limits of liability
We work carefully, but no automated system is perfect. To the extent the law allows, our total liability to you for any claim is limited to the fees you paid us in the three months before the claim arose, and we are not liable for indirect losses such as lost profits. Nothing in these terms limits liability that cannot legally be limited.
12. Governing law
These terms are governed by the laws of Lebanon. If a disagreement arises, we will first try to resolve it directly and in good faith.
13. Trademarks
WhatsApp, HubSpot and Calendly are trademarks of their respective owners. Pipeworks is independent and is not affiliated with or endorsed by them.
